Privacy Policy

  • 1. Basic policy

    The Nara Institute of Science and Technology Alumni Association (hereinafter referred to as “NAA”) retains members’ personal information (name, gender, date of birth, nationality, student ID number, contact address, employer’s name and address, phone number, Email address, research division (Formerly graduate school), affiliated laboratory, admission/graduation date, etc.) to promote mutual friendship among NAA members, and also for the purpose of achieving Nara Institute of Science and Technology’s purpose and mission. NAA shall establish a privacy policy for handling the aforementioned personal information including the contents described below and take appropriate measures from the perspective of human rights and privacy protection. In addition, NAA will continuously review and improve the handling of the personal information.

  • 2. Uses of Personal Information

    As indicated in its constitution, NAA shall use members’ personal information as follows, “to promote mutual friendship among members and to achieve Nara Institute of Science and Technology’s purpose and mission.”:
    (1) Sending information about the following projects and their related communications.
     A) Activities that NAA sponsors, co-hosts or co-sponsors
     B) Projects involving Nara Institute of Science and Technology deemed compatible with NAA activity objectives
     C) Projects involving NAA members deemed compatible with NAA activity objectives
    (2) NAA newsletter, etc. distribution (including electronic media, limited to those deemed compatible with NAA activity objectives)
    (3) Management and creation of the NAA member list.
    (4) Administration and guidance related to membership fees and donations.
    (5) Sending materials related to current Nara Institute of Science and Technology student job-hunting support.
    (6) Responding to inquiries from NAA members.
    (7) Any other duties related to the above.

  • 3. Personal information acquisition

    NAA shall acquire personal information of its members by fair and lawful means in accordance with the Act on Protection of Personal Information (Law No. 57, 2003) and other laws.

  • 4. Management of personal information

    In accordance with the Act on the Protection of Personal Information and other laws and regulations, NAA shall manage the personal information it collects appropriately, under strict security measures to prevent unauthorized access, loss, destruction, falsification and leakage of personal information, and with appropriate supervision and security measures in place.

  • 5. Restrictions on personal information use and provision

    NAA shall not disclose any member’s personal information to a third party without the consent of the individual, unless done under legal stipulations. However, if deemed within the scope of the uses established, all or part of the member’s personal information may be disclosed to a subcontractor. In such cases, the necessary measures shall be taken to properly manage member’s personal information, such as ensuring sufficient level of personal information protection, determining subcontractor’s eligibility and concluding confidentiality agreements. Measures shall be taken to prevent members’ personal information leakage. In addition, NAA shall jointly use member personal information with Nara Institute of Science and Technology as long as it is within the scope of the uses established.

  • 6. Disclosure, correction and suspension of personal information use

    If a member requests NAA to disclose, correct, or suspend use of his/her personal information held by NAA, NAA shall respond to this after confirming the member’s identity to prevent leakage or falsification. However, this shall not apply if NAA judges that such a request will interfere with the execution of NAA’s activities.

  • 7. Law and regulation compliance and policy revision

    NAA shall comply with personal information protection laws and other laws and regulations, and strive to protect members’ personal information held by NAA. This policy is subject to change without notice to improve information protection for members’ personal information held by NAA.
